How to Create, Modify or Delete a Transaction Profile

Use the Transaction Profile option to create, modify and delete the profiles that specify the fund and contribution types available for a particular transaction. You can create as many profiles as needed. When using profiles, try to use profile-naming conventions that other users will recognize. Note: You cannot modify a profile if there are transactions using it.

Note: You can create a Transaction Definition (Setup > Transaction Rules > Transaction Definitions) that will link the profile to a specific transaction type. For example, if definition uses the 'Sample' profile with WITH transactions, when you open the Transactions > Distributions > Withdrawals screen, the Sample profile will automatically display in the Profile field. The system will also automatically use this profile if a participant requests a withdrawal over the VRU or Internet.

If you use a profile for a transaction, the amount available will be adjusted. For example, if a source is excluded in the profile, the 'Total Available' on the Transactions > Distributions > Withdrawal screen will be limited to only those sources that are not excluded.

Use this procedure to create a transaction profile.

  1. Access the Transaction Profile option.
  2. Click the Add icon.
  3. Enter the Profile Name, for example, LOAN. This is the name that will display in the Profile field on the transaction screens. See Setup > Transaction Rules > Transaction Definitions to specify a default profile for a transaction screen.
  4. In the Description field, enter the profile's purpose, for example, Exclude Company Stock.
  5. You can select a Model and/or Contribution Type to filter the funds that are available for the profile. Otherwise, all funds for this plan will appear on the grid.
  6. Click Include All to automatically select the check boxes in the Include column. Note: When the check boxes are selected, the Model/Contribution Type combo will be included in the profile. Click Exclude All to automatically deselect the check boxes in the Include column. Note: When the boxes are deselected, the Model/Contribution Type combo will not be included in the profile. Click Invert All to automatically deselect any check boxes that are currently selected and automatically select any check boxes that are currently unselected.
  7. Specify the order in which the Model/Contribution Type combos should be exhausted. Note: If you entered a 0 or the same number for all Included combinations, they will be considered equal and will be exhausted on a pro-rated basis. If some fund/source combinations are 'Excluded' then an order MUST be entered for the other 'Included' fund/source combinations.
  8. When you are done, click the Save icon. The following message displays:

    Your changes were saved successfully.

    Click OK.

 

Show me an example of a transaction profile

 

Use this procedure to modify a transaction profile.

Note: You cannot modify a profile if there are posted transactions which used this profile for processing. A new profile would have to be created for future transactions.

  1. Access the Transaction Profile option.
  2. Search for the Transaction Profile you want to modify.
  3. Enter the Profile Name, for example, LOAN. This is the name that will display in the Profile field on the transaction screens. See Setup > Transaction Rules > Transaction Definitions to specify a default profile for a transaction screen.
  4. In the Description field, enter the profile's purpose, for example, Exclude Company Stock.
  5. You can select a Model and/or Contribution Type to filter the funds that are available for the profile. Otherwise, all funds for this plan will appear on the grid.

Use this procedure to delete a transaction profile.

Note: You cannot modify a profile if there are posted transactions which used this profile for processing.

  1. Access the Transaction Profile option.
  2. Search for the Transaction Profile you want to delete.
  3. Click the Delete icon. The following message displays:

    Are you sure you want to delete the current transaction profile?

    Click Yes to delete it or No to retain it.

  4. When you are done, click the Save icon.
